How to Conduct an Online Board Meeting
Online board meetings are virtual ones which use a dependable video conference software. Meetings are held at home or other locations with internet access. These meetings have many advantages, including increased nonprofit governance, more efficient meetings times and increased diversity of participants.
The first thing to bear in mind when conducting a virtual board meeting is to double-check with the mission-driven organization or corporation that you are a part of and the local laws and regulations pertaining to these types of meetings. Generally, they are prohibited by the internal policies of a few mission-driven companies and organizations, and could be unlawful in some states or regions.
Participants should verify that their equipment is working properly prior to attending a virtual event (computer headsets, headsets and microphones). The meeting organizer should create an agenda and invite all members to participate. They must attach a copy of the agenda to the calendar invite so that everyone has visibility and can provide notes, comments or feedback ahead of time. This will make it easier to organize the meeting and improve engagement.
Board members must adhere to the rules of online meetings during the meeting by turning on their camera and only speaking when they are called upon. The board chair should also solicit volunteers to lead the discussion and select an observer. The chair should conduct quick check-ins to make sure that all attendees are linked up and on the same page.
It’s crucial to follow up on any deadlines or action items that were assigned in person or listed on the board’s platform. This will encourage accountability and allow the board to contact any members who aren’t in compliance in their duties.
